Q: I have a question about what I realized is a lack of a policy in my firm. How email subfolders on each staff member’s computer are arranged and what happens to emails when they are related to client matters. We currently have a shared email folder where they are sorted under the client matter but what about all the other emails that come and go in a business? Should that be standardized among different staff computers?
A: You already know to save the client email in the client folder. Then, in terms of other emails that are about running the office, we have subfolders for whatever the subject matter content is. One of the issues that we haven’t yet resolved is exactly how to organize that, but my office administrator is working on it.
A: I’ll be candid and say we don’t organize our emails like that. If there’s an email that’s important enough to save in a client file we’ll print it or save a PDF on the cloud. I leave organization of inboxes to the individual employee and I don’t really get involved in how they do that unless there’d be a really special reason.
A: We have all of the client related emails go into a particular folder that then get printed and placed digitally into the cloud files. Other emails, depending on what they are, we may save them but it all depends on the circumstance.
