Q: How do you guys tell your capacity? I’m booked two weeks out. I don’t know at what point I say I need people.
A: You flow chart out the steps involved in a case or matter. Step one, step two, step three. For each step you assign a job to a reception, paralegal and associate. Then you say the first step should take ten minutes, the second step should take thirty minutes, the third step should take thirty minutes. Then you can see the ratio of how many cases or matters your firm can handle with the team you’ve currently got. What you end up figuring out is a case to team ratio. The idea is each of the tasks that you’re building into this flow chart, you want to assign that to the lowest qualified person who can do the tasks. There’s lots of law firms running around that have people with a juris doctorate doing the job of a receptionists.
